Job Title: Administrative Support Assistant

Department: Growth and Enterprise 

Grade: 2

Responsible To: Senior Manager – Growth, Enterprise and Major Projects  

General Job Objective: To provide clerical and administration support for the Growth and Enterprise Team.

Key Tasks:

  • To provide an efficient administrative service for the Growth and Enterprise Team. Responsibility for customer care, clerical and administration duties, and maintaining electronic filings systems.

 

  • To be the first point of contact for telephone and any in-person enquiries. To maintain a record of, and to assist with responses to queries in person and by telephone.

 

  • To administer and monitor ordering and invoicing including all orders and payment of invoices via the Councils procurement system. Maintain a requisition and invoice electronic tracker.

 

  • To ensure that stationary supplies and equipment are adequality maintained.

 

  • Assist with the compilation of specifications, tenders, quotations and JCT Formal Contracts.

 

  • To assist officers in the organisation of meetings, events, and consultations relating to Economic Development and Growth and Enterprise and attend if required, in a supporting capacity.

 

  • Record, sort and distribute incoming and outgoing mail.

 

  • To assist with the preparation of background work to support projects and funding applications.

 

  • Management and maintenance of the departments electronic filing system.

 

  • Record budgetary information and assist with the monitoring of capital and revenue budgets.

 

  • To prepare grant claims for externally funded projects in line with funding agreements and Council Financial procedures. Including the administration of officer time recording System.

 

The post holder is required to carry out any other duties appropriate for the grade and responsibility level of the post.

The post holder will be required to comply with relevant legislation and in accordance with the Council’s policies and procedures.

The post holder will be employed under the NJC Conditions of Service for Local Government Services.
